Fran Haasch Law Group Uncovers Critical Medical History with Litify ACE

The Fran Haasch Law Group, a personal injury practice in Florida, has built its legacy on one core principle: delivering exceptional results for clients. Celebrating its 26th anniversary this year, the female-owned firm founded by Fran Haasch has established itself as a community-focused firm in the Tampa Bay market and beyond.

To maintain high-quality client care while sharpening its competitive edge, the firm needed to modernize its technology stack. By replacing a legacy system with Litify five years ago and recently implementing Litify Agentic Case Expert (ACE), Fran Haasch Law Group has increased visibility across operations, reduced administrative time, and laid the foundation for an expanded in-house litigation practice.

Outgrowing a legacy system

Before implementing Litify, the firm relied on Time Matters, an outdated, server-based practice management system. As Aaron Melling, Operations Manager at Fran Haasch, explained, without centralized, real-time analytics, leadership operated with little insight into day-to-day performance. Limited integration options and a lack of clean data hampered visibility and slowed operations.

To continue growing, the firm knew it was time to explore a cloud-based platform that offered robust reporting and stronger integrations to unlock greater visibility into case management, uncover missing medical records, and improve efficiency.

Centralizing operations and optimizing marketing ROI

Transitioning to Litify provided Fran Haasch Law Group with a single source of truth across its specialized departments. Rather than relying on manual, team-by-team reviews, firm leadership gained instant access to dashboards and KPIs. Robust document management and centralized case records gave the team a clear path to manage cases more efficiently.

This centralized structure yielded immediate benefits for the firm’s marketing strategy and cost per case acquisition. By tracking performance and case sources directly within Litify, leadership could clearly evaluate return on investment and adjust spending accordingly.

"Making those marketing decisions based on factual data from Litify has positively impacted the business," Melling explained. "Litify has given us more visibility to what’s working, what isn’t, and the actual ROI at a granular level so we can determine where to allocate our funds."

Driving AI innovation with Litify ACE

After evaluating third-party AI options and even considering custom-built options, the firm chose Litify Agentic Case Expert (ACE) to bring artificial intelligence directly into its existing workflows. Today, the firm leverages Litify ACE for matter summarization, case analysis, document drafting, and more, helping staff quickly digest case histories as files transition across departments.

"One of our goals this year has been to be more efficient in how we're thinking, how we're reacting, and how we're using technology to improve the internal and external experience. Litify ACE has allowed us to determine our best use cases for AI, and how we're going to make the biggest impact on our staff and clients," Melling shared.

Uncovering critical medical insights early

Reviewing dense medical records used to take up to 12 hours of an attorney's time per file. With Litify ACE, the firm can quickly analyze complex medical histories and surface potential causation issues before approving major medical procedures.

“Recently, we had two separate matters in which Litify ACE identified significant prior medical history that wasn’t surfaced during the initial manual review process. Litify ACE elevated those issues early enough for our legal team to reassess causation exposure before major treatment decisions were made. In our experience so far, this single use case has likely paid for Litify ACE several times over within the first year of implementation,” Melling said.

He added, “Litify ACE is not replacing legal judgment — it is strengthening the review process by helping surface critical details that could otherwise be buried within thousands of pages of medical records.”

Departmental handoffs and matter summarization

Unlike traditional personal injury firms, Fran Haasch Law Group routes cases through specialized departments across the case lifecycle. A matter might stay with one team for three to six months before moving to another team to continue the legal process.

To prevent clients from experiencing any negative impacts during the handover, the firm uses the Litify ACE Matter Summary Agent to provide instant case snapshots. Staff receiving a transferred file can quickly review everything that occurred over the preceding months, ensuring knowledgeable, seamless client communication on their very first call.

Digging deeper into case strengths and weaknesses

The firm also recently activated the Strengths and Weaknesses Agent to help team members generate comprehensive case evaluations without manually typing complex prompts. By clicking into the agent's detailed output, staff can quickly assess critical matter details and identify risk factors early.

Change management: Building AI trust across the team

To drive adoption across a diverse workforce ranging from recent graduates to late-career professionals, Melling implemented small-group, weekly hands-on training sessions. After an initial trial week, the firm transitioned to using the pre-built Litify ACE Prompt Library to ensure consistent, high-quality results.

To overcome the initial fear of AI, Melling focused on educating staff about AI's role as a supportive tool: "I think some of that fear factor was instilled in people, so it was important to reiterate that AI is a tool, not a replacement," he said.

To demonstrate the platform's concrete value to skeptical team members, Melling set up head-to-head comparisons between manual searches and AI-driven queries. Melling instructed his team to review a file and manually locate the required information. Then, he showed them how using Litify ACE could reduce the time spent finding that same information to about 30 seconds. “It did open their eyes, and they’re more open to it now that they see the value.”

The firm also maintains complete transparency with its clients, disclosing AI usage up front in contingency fee agreements. When clients express concern, staff explain that AI operates within a closed, secure system as an efficiency tool. While an opt-out option is available, no clients have chosen to do so.
