Scalable Software To Support Firm Growth And Profitability

As the largest minority-owned firm in the United States, Quintairos, Prieto, Wood & Boyer is a national litigation firm with 50 offices across the country. They handle multiple practice areas, including medical malpractice, workers’ compensation, insurance defense, and general litigation.

Over the past few years, the firm has been focused on growth and profitability. Their goal has been to acquire groups that can expand the firm’s services while maintaining a solid foundation across all the existing offices, so that all staff can benefit.

As they’ve grown, QPWB needed a legal technology that could scale with them and be configured to changing business requirements as the firm evolved. They found Litify.

Life before Litify

Before Litify, Quintairos, Prieto, Wood & Boyer didn’t have a robust case management system. They used files and local servers to store and manage all their information. However, with so many offices, it was difficult to keep staff updated on the latest billing guidelines, for example, or to ensure everyone in the firm followed the same processes for keeping data or reviewing cases.

“Without a solution like Litify in place, every time we needed data, we had to compile it by hand, which took unnecessary time. We were also aware that, without a platform, each of our lawyers had come up with their own processes for managing their work, so we needed a platform that would help us run our practice and our business better,” said Daniel Moriarty, Partner at Quintairos, Prieto, Wood & Boyer.

Evaluating Litify

The firm decided on Litify because of its security and flexibility. The platform provided one secure place to house their data, documents, and information, and everyone in the firm could access it, whether they were in Pensacola or Los Angeles.

“Our primary objective is to comply with all client billing guidelines. However, since our time entries were frequently being reduced, we needed a solution that could enforce these rules across every time card — ultimately resulting in fewer cuts and stronger profitability,” said Jorge Riofrio, Chief Revenue Officer at Quintairos, Prieto, Wood & Boyer.

Plus, because Litify is built on Salesforce, the team could configure the platform to their needs instead of being limited to what a vendor provided.

Life with Litify

“We’re already reaping the benefits of having all our cases, documents, and staff in a single place on Litify,” said Moriarty. And adoption is at an all-time high: “We now have 967 logging in each week out of a thousand people,” Moriarty added.

With their teams now working from a single source of truth, QPWB can focus on real-time reporting, increasing visibility into their time and billing processes, and using automation to further streamline their workflows.

Performance data

A major priority for QPWB this year is improving how they collect the data they need to impact business decisions. Moriarty explains, "Litify is the first time our firm's been on a robust case management system, so we are missing some of those historical insights or benchmarks. Now we can collect that data and get the insights we need to make more informed decisions going forward."

He describes the previous process for opening matters as minimal, requiring only six fields of data, which meant that key information wasn’t always captured during the intake process. Moriarty and his team recognize that getting meaningful insights becomes difficult without the right data.

Reports and dashboards

“Litify has given us a platform where we not only store our data but also turn it into real-time insights. From building reports or dashboards, slicing or dicing all our information, or setting alerts to give us red flags, we now have complete visibility and the ability to act proactively. In the past, a missed deadline might have led to an upset client — but Litify has helped us eliminate many of those issues,” said Riofrio.

While data collection and team adoption are still evolving, Litify's reporting capabilities are already providing valuable insights. “We used to have to run every report manually, so even pulling simple reports is really impactful," Moriarty said, citing examples like running a report to see the cases someone is working on or case assignments by attorney.

One significant benefit of better reporting is identifying billing opportunities and resource allocation. “Litify enables us to identify gaps in our process so we can better serve our clients. We realized we were leaving a lot of billable hours on the table, which means we weren’t giving our client the best value for their settlement,” Moriarty added.

Looking ahead, QPWB aims for more complex reporting. "I’m eager to look at summaries of outcomes, settlement versus dismissal, arbitration versus trial, and settlement amounts," Moriarty said. Insurance carriers expect these metrics, and the firm is working to make them readily available.

Timekeeping and billing

The QPWB team is already noting the impact of having time and billing fully integrated into Litify, particularly the increased visibility of back-office financials: "Enabling our managing partners with all the tools they need to run their offices better — like complete visibility into financial reports — opens up a whole new world for us,” Moriarty said.

“The batch entry feature allows staff to create multiple time entries at once, eliminating the need to repeatedly enter details like matter number and date. With just a few clicks, several entries are nearly complete, allowing our team to focus their time where it matters most — on the narrative. This not only streamlines the process but also lets us be more precise and get to the root of each entry, reducing the risk of time being rejected due to certain wording,” said Riofrio.

Automation

QPWB is also actively incorporating automation into their workflows to streamline court notice processing, scheduling, and time entry. “ECFX has been huge for us. It's automating the processing of the court notices and billing simultaneously, which we couldn't do without Litify,” Moriarty explained.

The firm is also exploring scheduling automation, which implements calendar rules based on the jurisdiction and automates the calendaring of each step in the legal process to reduce delays.

Last but not least, automating time entry has been a game-changer for QPWB. If an action in Litify doesn’t have a corresponding time entry, the system automatically reminds the staff member to create one. This has been especially helpful for our younger associates, ensuring they capture time for the work they’re doing — time that might otherwise have been overlooked,” said Riofrio.

The results

“We’ve definitely seen write-downs come down over the last year, and we’ve also seen an increase in our time capture because of the automation and tools we’ve implemented that constantly remind our staff to bill their time,” said Riofrio.

For Quintairos, Prieto, Wood & Boyer, the beauty of Litify is that they can continue to configure and tailor the platform to what works best for the staff or adapt to new reasons for reductions from their clients.

And how does a Chief Revenue Officer benefit from a legal platform like Litify? Riofrio says his role comes down to two important areas: tracking billable hours and revenue for the entire firm, and evaluating the different groups that want to join the firm.

“That’s where Litify comes in. It provides a reliable database for our timekeeping, billing, and case information, allowing me to pull data on the case side to staff teams effectively; while on the finance side, I can also design highly competitive compensation packages,” Riofrio added.

This will keep the firm scaling strategically in the years to come.

What’s next

“The next step is to bring all our billing and accounting into the platform, allowing us to create dashboards that give teams real-time visibility into business performance. Instead of relying on me to pull reports or waiting 6–12 months to discover something isn’t working, we’ll be able to spot issues immediately and take action,” said Riofrio.

Moriarty echoed this sentiment and expanded on the firm’s future priorities: onboarding new offices, improving data entry processes, creating more document templates, and eventually implementing more comprehensive AI tools for document review and case analytics.
